GmailWoo Documentation

Connect your WooCommerce store to Gmail in about 5 minutes.

1. Setup guide

Step 1. Create your account

Sign up at gmailwoo.com/signup and confirm your email address.

Step 2. Install the WordPress plugin

Download the GmailWoo Connector plugin, then in wp-admin: Plugins → Add New → Upload Plugin → Activate.

The plugin exposes a small REST API under /wp-json/gmailwoo/v1/ that only the Gmail add-on (with your API key) can read.

Step 3. Connect the plugin

In wp-admin open GmailWoo in the sidebar, paste the API key shown in your dashboard, and click Connect. The plugin verifies the key with gmailwoo.com and stores a per-site secret used to authenticate add-on requests.

Step 4. Install the Gmail add-on

Install GmailWoo from the Google Workspace Marketplace, open any email, and the add-on appears in the Gmail sidebar. Paste the same API key on first launch.

Works in Gmail on desktop, Android, and iOS — same customer card everywhere.

2. Connecting multiple stores (Pro)

How connections work

Every store you connect in your dashboard gets its own API key. That key identifies the store end to end: the WordPress plugin uses it to link the site, and the Gmail add-on uses it to know which store to query.

Store A → API key A → plugin on Store A
Store B → API key B → plugin on Store B

Free plan — one store

Connect a single store in the dashboard, install the plugin there, and paste that store's API key into the add-on. One key, one store — done.

Pro plan — up to 5 stores

Add up to 5 stores in your dashboard. Each gets its own API key, and each needs the connector plugin installed and connected on that site.

Using them in Gmail: the add-on picks the right store automatically. When you open an email, it looks at the address the message was sent to — if that matches a store's support email or its domain, that store's customer data is shown.

Set each store's support email when you add it in the dashboard (e.g. [email protected]) — that's what makes auto-matching work when the inbox domain differs from the store domain. No match? The add-on keeps the current store, and you can switch manually from the Your Stores picker on the add-on's home card.

Tip: different Gmail accounts (or different team members) can each be bound to different stores simultaneously — useful for support teams covering multiple shops.

3. Using the add-on

Open any email — GmailWoo looks up the sender in your WooCommerce customers and shows their card in the sidebar:

  • Customer details: name, email, billing/shipping address, phone
  • Order history: status, totals, items, dates — newest first
  • Order actions (Pro): change order status, add order notes
  • Customer editing (Pro): update contact and address fields, written straight back to WooCommerce

5. Plugin REST endpoints

The connector plugin registers these endpoints on your store. All require a valid GmailWoo JWT in the Authorization: Bearer header, signed with your per-site secret.

Endpoint Method Plan Purpose
/customer?email=GETFreeLook up a customer by email
/orders?email=GETFreeOrder history for a customer
/order/statusPOSTProChange an order's status
/order/notePOSTProAdd a note to an order
/customer/notePOSTProAdd a note to a customer (stored in _gmailwoo_notes meta, returned as customer.notes)
/customer/updatePOSTProUpdate customer contact/address

6. Data & privacy

  • Your customer data never touches our servers. The Gmail add-on calls your store's REST API directly over HTTPS.
  • GmailWoo's backend only handles accounts, API keys, licensing, and tokens.
  • Access tokens are per-site, expire after 1 hour, and are refreshed automatically.
  • Revoking an API key in the dashboard or disconnecting the plugin instantly cuts off access.

7. Troubleshooting

"No customer found"

The sender's email isn't attached to any WooCommerce customer. Check the billing email on their orders, or that they checked out as a registered customer.

"Could not reach your store"

The add-on calls your store directly. Confirm the site is up, the plugin is active, and no firewall/CDN rule is blocking /wp-json/gmailwoo/v1/.

"Session expired" / repeated re-auth

Access tokens last 1 hour and refresh automatically for 30 days. If you're asked to re-enter your API key, generate a fresh one in the dashboard and re-connect the plugin.

Pro actions greyed out

Write actions need an active Pro subscription. Check your plan in billing, then reload Gmail.

Wrong store showing in Gmail

The add-on queries whichever store your current API key belongs to. On Pro, double-check you entered the key for the right store — each store's key is listed on its card in the dashboard.
